IN AN EMERGENCY
If you have a major emergency, your first port of call should be THE COAST GUARD. Use channel 16 on your VHF to initiate the call and you will then be directed to another channel.
You should notify the Route Manager as soon as possible, after the coast guard, for any major emergencies. For minor emergencies, contact your lead skipper. Please be sure to fill out an accident report form ASAP:
EMERGENCY DROP LOCATIONS ON LAND
If anyone on your yacht needs immediate medical assistance, these are the best locations to meet an ambulance while at sea. RM will nominate a designated dinghy during the week that has the strongest outboard which will be used in case of emergency.
- Agia Marina Port in Aegina – Between Athens & Poros. 20 min drive to hospital which is on the West side.

YW ETHOS
Leave nothing but footprints. Capture nothing but memories. Waste nothing but time. We are a community that respects the environment and are lucky enough to offer sailing experiences in some of the world’s most beautiful locations. The Yacht Week is committed to keeping them that way, so together let’s follow these 4 simple principles:
Respect The Local Community
Working in Greece is a privilege, so treat the local community with respect and decency
When on some of the islands, it is not appropriate to wear swimwear or bikinis when walking through the town or on the dock. Drinking alcohol or loitering in open, public places is also not acceptable. You will be fined!
Music on the yachts after 10 pm is a big NO – not everyone will appreciate your music taste!
Respect The Environment
- Reduce Your Use of Plastic
- Sail Rather than Cruise
- Don't Throw Anything Overboard (unless organic waste)
- Recycling
- In Greece all recycling goes in the blue bins and is sorted at the recycling center.
- Don’t know if it’s recyclable? Look around on the item for the recycle symbol to be sure. Ideally all items should be cleaned and free of food waste
Respect Each Other
YW is a smorgasbord of wonderful people from all over the world, which makes our community so special – embrace it! Invite new people on your yacht and get to know each other. But be careful when walking between yachts, the etiquette is to always pass via the front (bow) and not through the cockpit.
Respect The Yachts
We charter the newest yachts available and we would like to keep it that way. Look after your floating home and she’ll look after you – after all, you don’t want to lose your deposit.
BRAND STANDARDS
The following values and standards are set out to guide Yacht Week Staff in a direction that will ensure we achieve our aim and represent YW and Day 8 to the highest standard.
All Eyes on You
While you may not remember the 300 faces of guests that you interacted with today, they will remember you! Beyond this, skippers, hostesses & Greek locals will all remember you after a couple of weeks. You help in creating and upholding the reputation of YW. Therefore, you must remember that you are always representing the company. Yes, you are here to have fun, but please do so within your limits.
Alcohol
You will be surrounded by more free drinks than you can imagine. Nevertheless, we ask you to know your limit and play within it. If you get too intoxicated once, we will take care of you and be understanding. If we feel you have had too much to drink, we will send you home. If you are consistently drinking too much, exhibiting erratic behaviour when intoxicated and/or putting yourself/others in danger when under the influence of alcohol – we will reconsider your position with YW.
Drugs
Zero tolerance. Simple.
As previously stated, you are representing the brand at all times. Being a member of this brand, company & the Day 8 Community, there is no place for drugs. You should never partake in drug usage, providing drugs and/or being in a situation with people who are openly partaking in drugs. Your safety, as well as the safety of others, is the priority. Matters concerning drugs will immediately be handed over to the local police and your position with YW will be terminated.
Why?
This is the best job in the world, but it is not an easy one to obtain. We have high standards for our staff. We will reward you for hard and well-done work. Although, the best reward (in our opinion), is getting the chance to do it again in another destination. Additionally, Yacht Week is a growing organization and new positions will open. Getting a good review from the Greece management team can make the difference when applying for the job!
Punctuality
You will be held accountable for adhering to the weekly schedule. This is a fast-paced environment and within the events industry, things can quickly change. It is important to keep this in mind and to always be ready for anything, including last-minute changes to the itinerary, venues, schedules, etc. Please be on time, if not early, when you are expected to be somewhere. Timely and regular attendance is expected of you.
Social Media
Please keep it tasteful and do not represent the company negatively or inappropriately.
Personal Guests
Any non-YW person who wishes to attend the events, must get approval from your event manager and operations manager well in advance. There is no guarantee that they will be allowed entrance. They are welcome to attend events that aren’t exclusive to the Yacht Week.
Not A Competition
There is no job that you should be competing with your other colleagues for. Your teamwork skills are very important in this role and you are expected to always be a team player. In consideration of working on future events, your ability to be a team player is a major factor.
PRE-DEPARTURE INFORMATION
Please familiarize yourself with the information we have shared with the guests:
Crew Lists
We want our guests’ holidays to get off to a perfect start, so please ensure that your guests have completed their crew list 4 weeks before arrival. They simply log in (https://www.theyachtweek.com/account/login) to your booking and add your crew following the steps given. If they don’t do this, you will have to collect the crew’s passports and check them in at the charter office. *this year the charter operators may ask for all passports at check-in due to increased security problems*
Pre-Arrival Online Provisioning
We strongly encourage all hosts and guests to pre-order their provisions using one of the following online shops. Both shops will deliver directly onto your yacht. It’s a huge hassle shopping in Athens for the yachts, taxis are not permitted down the piers and day-of-shopping can cause a 3 hour delay..
Even if you prefer to buy fresh fruit, veggies and meat in person, advise your guests to order their water, alcohol and snacks etc online. This will help them enjoy their vacation much more as well.
Please include your Yacht name and skipper name when placing the order
Payment will be made upon delivery in cash or by card.
Check-In Online
Once the crew list is completed, each member of the crew must check in online before arrival. This saves them time during check-in at the marina and makes getting your yacht on time that much easier.
Check-In for Yacht Booker and Skipper
Booker: Bring money/credit card to pay the deposit* and your passport.
Skipper: Bring your nautical certificates and passport.
* The deposit is the maximum cost you can be charged if you damage your yacht or lose equipment. The amount can be found in your booking profile.
TYPES OF BOOKINGS
Full Yacht Bookings
Full Yacht bookings make up the majority of our flotilla and generally consist of groups of 6-12 friends who want to keep it private and enjoy a week with their mates. The price includes the yacht rental and a skipper, but guests can also include a host. Important to note this does not include the food for the week as this will need to be paid for on the day of check in when the host goes shopping.
Cabin Bookings
If guests are traveling with a small crew, as a couple or with one keen mate, the cabin booking option is what suits best. Guests share the yacht with other passengers, giving them a chance to meet new people and make new friends. Each cabin fits two people and the yacht will sleep up to a max of 8 guests. The price includes the yacht rental, a skipper, a host and half board (6 breakfast, 6 lunches and 2 dinners). This option is perfect for guests who want to experience the yacht week but not have the worry of organizing a big group of friends.
Double Bed Solo Cabins
If a guest is traveling solo and likes to have their own space, the double bed solo cabin is the way to go. These cabins are only available on selected weeks and sometimes selected categories – and includes a double bed private cabin for the week. The price includes the yacht rental, a skipper, a host and half board (6 breakfast, 6 lunches and 2 dinners). Solo travellers should be allocated to the peak cabins onboard all categories.
Solo Bunk Spots
If a guest is travelling solo and is happy to share a cabin, they can book a solo spot in a bunk bed cabin. This is only available in Premium Monohull yachts (where there is a bunk cabin). Solo travellers will always be matched up with another solo traveller of the same gender. They should always share the bunk bed cabin – remember, they have not paid for their own cabin! The price includes the yacht rental, a skipper, a host and half board (6 breakfast, 6 lunches and 2 dinners).
YACHT AND CABIN BOOKING DEPOSITS
Please note there is a big change this year in cabin booking deposits. We have made an agreement with the charter companies and cabin booking deposits will be handled directly with us. This means you do not need to handle the deposits for cabin bookings. Please familiarize yourself with the information below that has been shared directly with the guests.
Yacht Deposits for Full Yacht Bookings
Just a reminder about the refundable yacht deposit required for all full yacht bookings. A security deposit will be payable by card to the yachting company upon arrival. This deposit is in place to protect against any damages caused by you to the yacht during the week and is fully refundable, assuming no damage is caused. The amount of the deposit can be found under the Key Info section of your booking profile, and you can pay it using a maximum of two cards per booking. So, go ahead and make the most of your time on the yacht, knowing that your deposit is fully refundable at the end of the week, as long as everything goes smoothly.
You won’t be held liable for any damage caused by your skipper, so you can relax and enjoy your time on the yacht worry-free.
Yacht Deposits for Cabin Bookings
There are two options available for the Security Deposit if you have booked a cabin with us, depending on your preference. If you want to pre-pay online, you can select the non-refundable €100 per cabin security deposit option under the ‘Extras’ section of your booking. Payment can be made by credit card, which is the most convenient and secure way to complete the transaction. If you opt for this you will be able to head off on Friday without having to wait around for the check out process.
On the other hand, if you prefer to pre-pay a refundable amount, you have the option to pay a €1000 refundable security deposit online also under the ‘Extras’ section. This option will only appear in your booking profile a few days before you are set to sail. The refund will be issued to you within 14 working days from the last day of the charter. In case of damages, these will be deducted accordingly from an equal split of the number of guests on board. Just choose the option that works best for you, and get ready for an unforgettable Yacht Week experience!
It is important this is added to your booking before you arrive for check in so please do head to the Extras section to add to your booking today – only one purchase per cabin is required.
Each cabin makes the decision of which option to go with. They don’t all have to do the same.
Solo Bunk spots on premium monohulls have the same options but just for one person.
PSA! It’s important to note that for both yachts and cabins the only thing not covered by the yacht security deposit is any blocked toilets. However, don’t worry, your skipper will make sure you know how to use the toilets properly to avoid any issues.
NOTE TO SKIPPERS & HOSTS – we will have a designated team member at check-in on Saturday and check-out on Friday. They will be in charge of ensuring that all cabin booking guests have paid their deposits and will assist you in possible issues that could arise upon check-out, such as blocked toilets.
In the case of an accident – the skipper must call the yachting company and the nearest harbour master’s office (the yachting company provides the phone numbers) to make a report. If it is the fault of a third party then insurance will cover damages.
CABIN BOOKINGS - KITTY & PROVISIONING
Cabin Kitties
All cabin yachts at maximum capacity have 8 guests on board. However, not all cabin booking yachts are always fully sold. In the case that there are some spots open, Yacht Week will cover the following amount based on the number of guests:
- 6-10 guests - all guests pay an even share towards the kitty total
- 5 guests - TYW will cover 1/6 of the kitty amount owed
- 4 guests - TYW will cover 2/6 of the kitty amount owed
- 3 guests - TYW will cover 3/6 of the kitty amount owed
When communicating the kitty amounts to cabin bookers, the Customer Service team will ensure that it is made clear what the total amount owed as a yacht is. And that the guests will be responsible to split this equally between them all – so the total amount is split per person, not per cabin. In the case of an underfilled cabin yacht (less than 6 guests), this will be communicated to the guests upon confirmation of the final number of guests (Tuesday prior to charter).
The Customer Service team will handle all communication with the guests on an underfilled cabin booking yacht where we will be topping up the kitty amount and refunds will be issued back to the guests via YW admin system. No cash should be handled onsite for this and no promises of kitty top-ups should be made by anyone other than the Customer Service team.
In short, kitty reimbursement will be done before the trip, and the skipper will not need to manage any of this. The above information is offered so that you are clear on the process and are able to communicate this to cabin bookers in case they inquire with you. If you are still unsure on how to explain this to the cabin booker, please ask the cabin booking guest manager at check-in for support.
The kitty amounts can be found here: https://www.theyachtweek.com/whats-included
Greece Kitty Amounts
These are the amounts we have told guests to expect as a kitty amount per yacht. This is what you should communicate to guests in your introductory emails. Guests who wish to have extras like coffees, riva spots etc should be consulted about this at check-in and there should be full transparency about the additional costs. At the end of the week, any leftover kitty must be returned to the guests with receipts.
- Classic Mono - €900
- Classic Cat - €1100
- Premium Mono - €1150
- Premium Cat - €1350
Cabin Provisioning
Premium Monohull, Classic Catamaran & Premium Catamaran cabin bookings all have a host & food included in their bookings:
- Classic Monohull Cabin Booking (44-51 ft monohull, No Host)
- Premium Monohull Cabin Booking (51-57 ft monohull, Host & Food Included)
- Classic Catamaran Cabin Booking (39-45 ft no AC catamaran, Host & Food Included)
- Premium Catamaran Cabin Booking (42-47 ft AC catamaran, Host & Food Included)
For these bookings with food included the host will be notified of their budget 2 weeks prior on their assignments and will be given a company virtual card (Pleo card) pre-organised by the finance team at check in with a strict budget which is dependent on the number of guests onboard. Please make sure all receipts are uploaded to the corresponding app.
The food budgets are as follows:
- 7-8 guests onboard - €840
- 5-6 guests onboard - €785
- 4 or less guests onboard - €630
This should be enough to cover 6 breakfasts , 6 lunches & 2 dinners.
*Note skipper and host also must be fed with these budgets.
The QD team will ensure that this amount is written on the QD admin system for hosts to know their budgets for provisioning.
YACHT WEEK APP
Yacht Week App (both iPhone and Android)
The app is a source of information, but also a place for guests to share pictures (think of it like an ‘exclusive’ Instagram). They will also be able to see which yachts are on their route, who is on each yacht, message other guests and connect through other social media platforms. We will continuously build features that will help the community keep in touch after their event.
Download the ‘Yacht Week’’ app (iPhone & Android) by YW and stay in the know whilst on our events. You can:
- Share photos with your fellow guests, comment and like
- Check the latest schedule and information for your event
- Receive updates from staff
- Connect with other people at your event
- See public content from our events
You are only able to access the app four weeks before the event.

Pre-ordering will save guests the trouble of shopping on check-in day and avoid delayed delivery. Please shop at one of the following online stores for pre-orders with delivery directly to your yacht:
Discount Coupon code for your customers (3% to order subtotal): Yachtweek2025
Please include your Yacht name and skipper name when placing the order. Payment will be made upon delivery in cash or by card. Multiple orders for one boat can be made. This means that if your guests want to make a separate pre-order for snacks and drinks they can do so for the same yacht as your order.
If you or the guests are unable to pre-order:
Balaskas offers free transport to their physical shop on Check-In day. Return transport with goods is also provided after your yacht is ready to take provisions. You can leave your cart at the exit with the yacht name and skipper’s name. Balaskas can then bring the provisions to your yacht, and payment can be made via card at the yacht. Our check-in manager will notify them once your yacht is ready for provisions. It is recommended to shop about 2-3 hours before the yacht is ready, to avoid rush hours at the store.
Yachtness can provide day-of online-shopping through the link above.
Provisioning along the route:
There are grocery stores at all destinations for fresh fruits, vegetables and meats. As well as restocking on water, ice and drinks. Ask your leads for more information.
ARRIVAL & CHECK IN
// Please send your guests the following communication pre-arrival //
SOME TIPS FOR ARRIVAL & CHECK-IN DAY
1 – Make sure your crew list is fully complete on your booking profile, with everyone’s passport information. This is super important for the Port Authority!
2 – If you haven’t already, login into your booking profile and ready the Pre – Arrival stuff under Key Information. It’s super useful to ensure you have a great week!
3- It’s best to pre-book your airport taxi with Nikole. She runs an awesome fleet of professional taxi drivers that all speak English. They will pick you up right at your gate. This is going to save you waiting in a long line for taxis, that are often not so reliable. You can prebook anytime, up to 24 hours before you arrive in Athens. You can reach Nikole via email or whatsapp / viber : nikole4taxi@gmail.com / +30 690 777 7700
4 – To have a smoother check-in day, it’s a great idea to preorder your provisions for the week online. They will deliver directly to your yacht and you only pay upon delivery. You just need your yacht name to place the order. Make sure to coordinate with your host if we have one as they will do most of the shopping for the week. Here’s two links to online shops that delivery directly to your yacht:
Balaskas: https://balaskas.shop/?ref=theyachtweek
Yachtness: https://store.yachtness.com/?tracking=yachtweek
Discount Coupon code for your customers (3% to order subtotal): Yachtweek2025
5 – It’s also a great idea to get an International Driver’s License if you have a non-EU license and want to rent ATVs or Scooters. You can do so here: https://internationaldriversassociation.com/international-drivers-license-greece/
6 – There isn’t much to do at the marinas until our yacht is ready. Most yachts are ready between 4 and 6pm. It all depends on the previous week’s charter, so we never know until the day of.
7 – Luggage: There is a luggage storage at the Isobox Charter Village at Alimos Marina for 5 euros per bag that closes at 6pm. You can also head into the city and leave your luggage at Left Luggage Athens in Syntagma while you explore and wait for your yacht to be ready if you’ve already done all your shopping.
8 – Taxis: There is a big shortage of taxis in the Alimos marina area. But you can book one using the app Uber or Free now. In Greece it works with taxis only. We recommend pre booking in advance if you know you want one in an hour or so.
SKIP & HOST INFORMATION FOR CHECK-IN
Skipper & Host Check-in
Skipper and Host check-in will be done at the Yacht Week information point – for newcomers who need their kits.
Skipper and Host Luggage
We aim to provide some storage space for staff luggage in the container storage while you check-in or shop. The container storage is very small so please help us keep it tidy. We cannot be responsible for any lost or stolen items but will do our best to offer a solution.
Marina
Please make sure which marina your yacht is in. Most yachts are in Alimos Marina but all Navigare yachts are in Agios Kosmas. If your yacht is in Agios Kosmas please encourage guests to not come to Alimos marina and go directly to Agios Kosmas.
Check-In On Yachts
Skippers and Hosts are to communicate with guests to meet at the charter company office when the yacht is ready (after the skipper check-in). As there are limited options in the marina, we encourage guests to stay away from the marina until the yacht is ready. We have made recommendations for where to hang out near the marina in the Day 8 App.
Security
Yachts in Greece tend to be very safe. The locals respect other people’s possessions and are very aware of the trade that tourists bring. However, you should always lock your boat when unattended and make sure hatches are closed (in case of rain downpours) and locked. Never leave valuables in sight such as electronics, cash, passports, etc. Rats have been known to enter yachts in Greece, which haven’t been closed.
Dinghies can go missing very easily and although not intentionally taken, at the end of the night, many people will just take the closest dinghy to get back to their boat. Lift your dinghy every night if possible!
Please make sure guests are aware that whilst Greece is very safe, it is important to remain on YW itinerary as much as possible. If guests wish to go on excursions they are encouraged to stick to groups of 2-3 and inform the skipper of their plans. If boarding on YW recommended taxis guests should aim to travel in groups of 2-3.
Internet
There is internet access at the marinas and most bars/restaurants. You can also see your charter company for dongle rental.
Sim Cards
If you have a European SIM card with sufficient or unlimited data, please feel free to use this.
For those that require a SIM card, you can purchase one in Athens or on Day 3 in Poros OR get an ESIM. We recommend Cosmote SIM cards as they have the best service. There are great deals all summer long for data.
In Athens, all the SIM shops close by 3PM on Saturday. So either grab a SIM before coming to check-in or you will have to get one in Poros. You can buy Cosmote SIMs at “Germanos” stores . You can find them scattered around Athens. Vodafone is another option, but the service in the Saronic Gulf is not always great.
ON THE ROUTE
Seasickness
The waters are normally calm but we cannot control the weather. Previous passengers swear by a special adhesive patch that you can wear behind your ear, others have bought sea wristbands or ginger capsules. Being above deck and looking to the horizon also helps.
Garbage
In really hot environments, garbage starts to smell bad very quickly. Many of the towns have their own issues with garbage. When you arrive at a location, if you’re doing a garbage run, leave it in the appropriate place. DO NOT throw plastic or other litter into the sea. There is no excuse for garbage in the sea around where you are anchored or moored. If possible, separate aluminum and plastic before disposing of waste.
Recycling
In Greece all recycling goes in the same bin and is sorted at the recycling center. You simply need to keep one bag for waste and one bag for anything that is recyclable (glass, plastic, cardboard, aluminum).
Don’t know if it’s recyclable? Look around on the item for the recycle symbol to be sure. Ideally all items should be cleaned and free of food waste.
Next, look for the blue bins! Almost all the islands will have blue bins next to the green ones. The green ones are for trash. The blue ones are for recycling. Ask the locals if you can’t find the blue bins in town.
Holding Tanks and Pollution
Only a small handful of yachts do not have one, if your yacht does have a holding tank, ALWAYS use it when anchored or moored. The places in which we stay during TYW are all visually stunning and the staff are responsible for keeping it this way.
General Tips
- The Yacht Week operating on VHF channel 72 (HANDHELD VHF HIGHLY RECOMMENDED!!!)
